The Events & Experiential Manager is responsible for designing, planning, and executing high-impact physical experiences that bring the company’s brand, products, and thought leadership to life. This role manages all aspects of on-ground events — from booth design and production to vendor coordination, program operations, and demo preparation — ensuring every experience is professional, immersive, and aligned with the company’s narrative and product strengths.This role works closely with the Creative Director, Product Marketing, Product teams, and PR/Communications to ensure booths, demos, and on-site experiences evolve continuously and deliver a premium brand impression.Candidates with prior experience working with technology companies, enterprise/B2B brands, SaaS, AI, consumer tech, or innovation-driven products will be strongly preferred, as the role requires translating complex product capabilities into engaging and intuitive physical experiences.
Scope of Events & ExperiencesThe role oversees the production and execution of a wide range of physical brand experiences including:• Industry conferences and trade shows• Product launch events and technology showcases• Executive roundtables and editorial dinners• Partner and ecosystem activations• Roadshows and regional marketing events• Innovation showcases and demo environments• VIP customer experiences and curated gatheringsThe Events & Experiential Manager ensures that each format delivers a cohesive brand narrative while maintaining a consistent premium experience across locations and audiences.
1. Event Production & On-Ground Execution• Own end-to-end execution of all in-person events, including conferences, trade shows, roadshows, salons, editorial dinners, and partner activations.• Manage all logistical planning: timelines, setup, technical requirements, equipment, teardown, transportation, staffing, and risk management.• Oversee booth construction, installation, breakdown, and maintenance during events.• Serve as the primary on-site lead, ensuring operational excellence and smooth delivery of all event components.
2. Vendor, Partner & Third-Party Management• Source, negotiate, and manage third-party vendors: event organizers, production houses, contractors, fabricators, AV partners, and rental suppliers.• Ensure vendors deliver on-time, on-budget, and to brand standards.• Maintain a vetted list of high-quality partners for different event types and locations.• Evaluate vendor performance and optimize for cost, quality, and innovation.
3. Booth Experience & Demo Innovation• Work closely with Product, Product Marketing, and Creative teams to design compelling booth demos that communicate product value clearly and interactively.• Translate technical product capabilities into compelling and intuitive live experiences.• Ensure demos are functional, polished, reliable, and visually aligned with brand identity.• Coordinate demo scripts, test environments, devices, and supporting materials.• Lead continuous improvement by evolving demos based on new product features, customer feedback, and event learnings.• Collaborate with Creative to integrate visual storytelling, motion content, and interactive experiences into the booth environment.
4. Cross-Functional Collaboration• Partner with the Creative Director to ensure visuals, signage, booth graphics, and layouts are aligned with brand guidelines.• Work with Product teams to understand upcoming releases and co-create on demonstrations accordingly.• Support the Marketing Director with event-related promotional plans, registration, and post-event follow-ups.• Collaborate with PR & Communications to support VIP visits, media tours, and special experiences during events.
5. Event Strategy & PlanningManage the production of all event-related physical materials including:• Whitepapers and reports• Product brochures• One-pagers and case studies• Booth signage and backdrops• Demo guides• Merchandise and giveaways• Branded packaging and handoutsCoordinate with Creative to finalize designs and with print vendors to ensure quality, color accuracy, paper specifications, and budget alignment.Maintain inventory of event collateral and manage reprints or updates as needed.
6. Budget Management & Operational Excellence• Own event budgets, cost tracking, vendor invoices, and financial documentation.• Optimize budgets by balancing creativity, production value, and cost efficiency.• Build standardized processes, checklists, and playbooks to streamline operations over time.• Ensure compliance with safety standards, venue requirements, and risk mitigation protocols.
Requirements:• Experience managing events, activations, or experiential marketing programs for technology, start-ups, enterprise, or innovation-led brands is strongly preferred.• Ability to understand and communicate complex product narratives through physical experiences, demos, and interactive storytelling.• Familiarity with product launches, live demonstrations, executive presentations, and technology showcase environments.• Experience collaborating closely with Product, Engineering, or Product Marketing teams is a strong advantage.• Balance of operational excellence and creative thinking, with strong attention to detail and premium execution standards.
