Job DescriptionDelonix Group Indonesia is looking for an Engineering & Procurement Admin/Assistant to support our Engineering and Procurement team in managing project documentation, procurement administration, supplier coordination, and cross-departmental communication.This role is suitable for candidates who are detail-oriented, organized, responsible, and interested in growing within the hotel, construction, engineering, or supply chain industry.
Key ResponsibilitiesDocument & Process ManagementOrganize and archive project documents, including contracts, quotations, BOQ, technical specifications, acceptance forms, and change orders.Assist in preparing tender documents, purchasing requests, and purchase orders.Maintain project tracking documents, including supplier lists, quotation comparison tables, payment progress, and material delivery records.Prepare meeting minutes and follow up on action items with related parties.
Procurement SupportAssist the Procurement Manager in supplier screening and information collection, including supplier qualifications, samples, and quotations.Follow up on RFQ feedback, quotations, and sample submissions.Track material delivery schedules and coordinate arrivals through phone, email, and WhatsApp.Maintain and update the supplier database.
Engineering CoordinationCoordinate appointments and document exchange between suppliers, contractors, and internal teams from the office.Receive, organize, and follow up on project progress and issue lists submitted by Project Managers.Assist in preparing acceptance documentation, including material entry forms and quality records.
Administration & TranslationTranslate routine documents and emails between Indonesian and English.Handle reimbursement documents, invoice filing, and cross-departmental administrative coordination.
RequirementsMinimum Diploma or Bachelor’s Degree, preferably from Engineering Management, Civil Engineering, Hospitality Management, Business Administration, Supply Chain, or related fields.1–2 years of experience as an Administrative Assistant, Project Coordinator, Procurement Admin, or Procurement Support.Experience in hotel, construction, engineering, or project-related industries will be an advantage.Outstanding fresh graduates are welcome to apply.Intermediate English proficiency or above is required, especially for drafting business emails and reading technical documents.Basic Mandarin skill is a plus, but not mandatory.Proficient in Microsoft Office, especially Excel, including VLOOKUP and Pivot Table.Familiar with Word, PowerPoint, email communication, and WhatsApp coordination.Detail-oriented, responsible, proactive, and well-organized.Able to handle multiple tasks and work under pressure.Good filing and documentation habits.Stable working attitude and willing to grow with the company for the long term.
Reporting LineThis position reports directly to the Engineering & Supply Chain Lead and functionally supports the Engineering Manager and Procurement Manager.
